Job Summary:
The Administrative Coordinator will play a pivotal role in ensuring the smooth operation of our office and administrative processes. This position requires a highly organized individual with strong communication skills and proficiency in Microsoft Office products, particularly Excel and Outlook calendaring. The ideal candidate will be detail-oriented, capable of multitasking, and willing to collaborate with various departments to enhance operational efficiency.
Key Responsibilities:
- Provide administrative support to the organization’s management team and various departments as needed.
- Manage and maintain calendars using Microsoft Outlook, scheduling meetings, appointments, and conference calls.
- Prepare and distribute internal and external communications, including reports, memos, and presentations.
- Organize and maintain filing systems, both electronic and physical, ensuring all documents are easily accessible and up to date.
- Assist in the preparation of budgets, forecasts, and other reports using Microsoft Excel.
- Coordinate travel arrangements for staff, including booking flights, accommodations, and transportation.
- Collaborate with other departments to facilitate project coordination and information sharing.
- Perform data entry and maintain databases, ensuring accuracy and confidentiality of sensitive information.
- Assist in special projects and initiatives as assigned by management.
- Other duties as assigned.
Qualifications:
- Associate or bachelor’s degree in business administration or equivalent experience.
- Minimum of 5 years of experience in an administrative role, preferably in an industrial manufacturing environment.
- Proficiency in Microsoft Office products, particularly Excel (advanced functions, formulas, data analysis) and Outlook (calendaring, email management).
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong attention to detail and problem-solving abilities.
FLSA Classificaiton: Non-Exempt/Hourly
Compensation Range: $28.00 - $32.00 DOE
